Emma Phelps Flute Studio - Studio Policy
01 - My Responsibilities
My goal as an educator is to create a safe and encouraging environment where students from all backgrounds can build confidence through music. I will empower each student to influence their music education with input based on their interest and long-term goals. I will tailor the curriculum to match each student's specific learning needs.
Please allow 24 hours for response to all communication during the week. All weekend communication will be answered the following Monday. Email is my preferred method of communication, as texts may not be seen while teaching.
02 - Student & Family Responsibilities
Students agree to arrive at each lesson punctually, well-prepared, and with their assignment books, music, and instrument. To make good progress, consistent quality practice is necessary. If something is unclear about the assignments or goals after the lesson, support is available via email. Parents/Guardians agree to help encourage student independence by waiting outside of the room during the lesson and by asking their student for information about weekly assignments.
Parents: If something is happening at home or school that is affecting your child, please let me know. The more information I have, the more I can be sensitive to the needs of your child.
03 - Music & Materials
Each student is responsible for purchasing the required music and materials for lessons. Students will be expected to have the materials no later than two weeks after the materials have been assigned. Advanced notice will be provided whenever possible.
Students must have their own instrument to practice at home. The instrument must be in functioning order with prompt repairs. Guidance in instrument selection is included in tuition. The student must also have a cleaning rod and cloth that is used after every practice session and lesson.
04 - Tuition & Schedule
Tuition will be charged on the 1st of each month to the method on file with Fons. All payments are non-refundable. The studio is open for 44 weeks each calendar year. The weeks where lessons are not held (due to holidays, personal performance opportunities, or illness) will be communicated in advance. Studio closure weeks will not receive a make-up lesson credit.
*Please note that tuition reserves the weekly time slot, but may not directly correlate with lessons received if the student does not attend the scheduled lesson times.
05 - Cancellation Policy
Lessons canceled with under 24 hours' notice will not be eligible for a make-up lesson. Lessons canceled with 24 hours' notice will be credited as a make-up lesson for that month. Make-up lessons do not count as credit for the next month’s tuition. With notice, up to 2 make-up lesson credits can be provided in the Fall and Spring terms (September-December; January-May), subject to availability. Make-up lessons must be used within 30 days.
Lessons canceled by me will be given as much notice as possible. Teacher cancellations outside of the guaranteed 44 annual lessons will be rescheduled within 30 days.
Tuition is based on the number of lessons the studio schedules and will not be altered. Planned vacations or other conflicts communicated in advance receive a make-up lesson credit for that month. *A student's spot will not be guaranteed for the fall term if they were not enrolled in lessons during the summer term.
06 - Enrollment End Date
To end enrollment for the coming month, notice must be received via email by the 15th of the current month.
07 - Virtual Lessons
In the case of mild teacher illness, severe weather, or other conflicts, lessons may be held online virtually. When virtual lessons are offered, in-person make-up lessons will not be offered. If the student opts out of the virtual lesson, that lesson and tuition will be forfeited.
In the case that the student is unable to attend a lesson or reschedule, a make-up lesson may be offered via video exchange as an alternative when prior notice is given. In this case, the student would provide a video recording in exchange for the live lesson. Written and/or video feedback would be provided.
08 - Photo & Video Release Policy
I grant Emma Phelps my permission to use photographs and videos which feature my likeness / my child’s likeness. I understand that these photographs and videos may be from lessons, performances, and any other studio events. I acknowledge that photographs and videos featuring my child’s likeness may be shared for any legal use, including but not limited to: studio communication, publicity, social media, copyright purposes, illustration, advertising, and web content. Furthermore, I understand that no royalty, fee, or other compensation shall become payable to me or my child because of such use.
**Photographs and videos shared publicly will blur/cover any minor's faces (and adults upon request), and Emma will never use names to identify anyone in the image. The only un-blurred media shared would be an unlisted YouTube link for the studio recitals, which are shared to studio families only.
